Responsible for providing receptionist support by answering telephone calls, taking messages, and greeting visitors in a professional manner. Coordinates and assists plant management in carrying out day-to-day administrative and operational tasks.
Maintains telephone operations in a manner which ensures all incoming calls are handled in a professional business manner. Directs all calls to the appropriate individuals. Takes messages as required. Insures calls are answered at all times.
Greets all visitors in a friendly, cooperative manner to present a positive appearance of Ajinomoto. Provides assistance to these people and communicates their presence to appropriate individuals.
Helps organize both internal and external events, acting as a liaison for vendors and providing assistance to department managers for special projects, upon their request.
Manage Sr. Management Team’s calendar and assist in ensuring office projects, events, and stewardship activities are executed on schedule.
Arrange and coordinate travel arrangements – ticketing, hotel reservation, transportation, coordination of meetings & itineraries, and any other arrangements relating to the trips for the Sr. Management Team.
Coordinate internal and external meetings, conference/video meetings, meeting room reservations and Skype when needed.
Handle highly sensitive information in a confidential manner.
Performs various accounting tasks to insure accurate and timely completion of work within one or more areas of accounting, such as accounts receivable, accounts payable, or general accounting.
Handles all outgoing mail and delivers it to the local Post Office.
Obtains company mail at local Post Office daily. Distributes all mail to appropriate individuals. Confidential mail is maintained confidential and distributed unopened.
Completes all general office work (i.e.: data entry, copying, faxing, etc.) as required.
Maintains a log of all applications, and keeps files on all applications for future reference.
Keeps a log of applicants who call in inquiring about their applications.
Handles the setting up of appointment times for interviews with potential new employees as assigned by Human Resource Manager.
Responsible for maintaining employee files by insuring all filing is completely timely and confidentially.
Maintains all office supplies by storing in the proper locations.
Schedules couriers for miscellaneous deliveries or pickups of items located at various vendor locations.
Responsible for maintaining working operation of office machines (faxes, printers, copiers, etc.).
Performs all other work assigned.
Associates Degree or equivalent combination of experience and education.
Knowledge of basic administrative accounting functions.
Must be detail-oriented with high levels of accuracy.
